This Privacy Policy explains how the Academy of Combative Warrior Arts (A.C.W.A.), located at 1740 North Greenville Ave, Richardson, TX 75081 ("A.C.W.A.," "we," "us," or "our"), collects, uses, and protects information when you visit combativewarriorarts.com (the "Site") or interact with us by phone, text, email, or in person. By using the Site, you agree to the practices described in this policy.
1. Information We Collect
We collect information in the following ways:
- Information you give us directly — such as your name, phone number, and email address when you call, text, email, book a trial class, or fill out a form on the Site.
- Scheduling information — when you book a class, trial, or appointment through our Calendly scheduling tool, Calendly collects your name, email address, and the appointment details you provide. See "Third-Party Services" below for more on how Calendly handles this information.
- Payment information — if you pay for a trial class or program online, payments are processed securely by Stripe. We do not collect or store your full credit card number, expiration date, or CVV on our own systems — Stripe handles that data directly in compliance with PCI-DSS (the payment card industry security standard). We may receive limited transaction information from Stripe, such as the amount paid and last four digits of your card, for our own accounting records.
- Email list information — if you sign up for our email list (for example, through a form on the Site or at the academy), we collect your name and email address to send you updates, class announcements, and promotional offers. You can unsubscribe at any time using the link in any email we send.
- In-person information — such as emergency contact details, health information relevant to training, and signed waiver/release forms collected when you enroll in a class or program. This information is collected on paper or in person and is kept separately from Site data.
- Automatically collected information — such as your IP address, browser type, device type, pages visited, and how you interact with the Site, collected automatically through standard web server logs, Google Analytics, and the Meta (Facebook/Instagram) Pixel. See "Third-Party Services" below for details.
- Cookies and similar technologies — small files stored on your device that help the Site function properly and allow us (and our analytics/advertising providers) to understand how visitors use the Site. You can disable cookies through your browser settings, though some parts of the Site may not function as intended if you do.
2. How We Use Your Information
We use the information we collect to:
- Respond to inquiries and schedule trial classes or appointments
- Communicate with you about classes, schedules, and academy updates
- Process enrollment, payments, and maintain accurate student and safety records
- Send email updates and promotional offers to subscribers of our email list
- Improve the Site and our services based on how visitors use them, including through analytics
- Measure and improve the performance of our advertising, including ads run on Google and Meta platforms
- Comply with legal obligations and protect the safety of our students and staff
3. Text, Phone & Email Communication
If you contact us by phone or text (including through the "Click Here to Text Us" link on this Site), you consent to receive replies from us at that number regarding your inquiry, trial class, or enrollment. Standard message/data rates from your carrier may apply.
If you join our email list, you consent to receive class announcements, updates, and promotional emails from us. Every email includes an unsubscribe link, and you may opt out at any time. We do not sell or share your phone number or email address with third parties for their own independent marketing purposes.
4. Third-Party Services
The Site uses the following third-party services to function and to help us understand and grow our business. Each provider may collect information according to its own privacy policy when its service loads on our Site or processes your information on our behalf:
- Google Fonts — for the typefaces used across the Site
- Google Maps — to display an embedded map of our location
- Google Analytics — to understand how visitors use the Site (pages viewed, time on site, general location, device type) so we can improve it. Google Analytics uses cookies and similar technologies to collect this information. You can opt out using Google's Analytics Opt-out Browser Add-on.
- Meta Pixel (Facebook/Instagram) — a piece of code that helps us understand how visitors interact with the Site after clicking one of our Facebook or Instagram ads, and helps us measure and improve the effectiveness of our advertising. You can manage how Meta uses your data for ads through your Facebook Ad Preferences.
- Calendly — our scheduling tool, used to book trial classes and appointments. When you schedule through Calendly, your name, email, and appointment details are collected and processed by Calendly according to its own privacy policy.
- Stripe — our payment processor, used to securely handle online payments for trial classes and programs. Stripe collects and processes your payment card information directly; we do not store full card details ourselves.
- Facebook — linked from our Site to our academy's Facebook page
We encourage you to review the privacy policies of Google, Meta, Calendly, and Stripe for more information on how each of them handles your data.
5. How We Share Information
We do not sell your personal information. We may share information only in the following limited circumstances:
- With service providers who help us operate the Site and our business — including Calendly (scheduling), Stripe (payment processing), Google Analytics (site analytics), and Meta (advertising) — each of which processes information only as needed to provide their service to us
- With email service providers used to send our email list communications
- If required by law, court order, or to protect the safety of our students, staff, or the public
- In connection with a business transfer, such as a merger or sale of the academy, subject to standard confidentiality protections
6. Children's Privacy
A.C.W.A. offers classes for minors (including our Kid's Bully Defense program), and we collect the minimum information necessary from a parent or guardian to enroll a child — such as the parent's contact information and the child's name and age. We do not knowingly collect personal information directly from children through the Site itself without a parent or guardian's involvement. If you believe a child has submitted information to us directly without parental consent, please contact us so we can address it.
7. Data Security
We take reasonable administrative and technical measures to protect the information we collect. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
8. Data Retention
We retain personal information for as long as necessary to provide our services, maintain accurate business and safety records, and comply with legal obligations. Signed waiver and liability forms are retained in accordance with standard industry practice for physical training businesses.
9. Your Choices & Rights
You may contact us at any time to:
- Ask what personal information we hold about you
- Request that we correct inaccurate information
- Ask us to delete your information, subject to any records we are legally required to retain (such as signed waivers or payment records)
- Opt out of marketing communications by replying "STOP" to texts or unsubscribing from emails
- Opt out of Google Analytics tracking or Meta advertising, using the links provided in the "Third-Party Services" section above
- Disable non-essential cookies through your browser settings
Depending on your state of residence, you may have additional rights under applicable privacy laws (such as the Texas Data Privacy and Security Act). Contact us using the information below to exercise these rights.
